Booking and Payment Policies

Ensuring a smooth booking experience, our policies are designed for transparency and ease. Upon booking, you will receive an immediate confirmation detailing your adventure, dates, and payment specifics. A 25% deposit is required to secure your reservation, with the remaining balance due 60 days prior to your trip start date.

Accepted Payments & Currency

We accept major credit cards (Visa, MasterCard, American Express) and secure online bank transfers. All transactions are processed in Canadian Dollars (CAD). For international bookings, your financial institution will handle currency conversion at their prevailing rates.

Deposit & Final Payment

A non-refundable deposit of 25% is required at the time of booking. Final payment is due 60 days before the scheduled departure. Bookings made within 60 days of departure require full payment at the time of reservation.

Price Guarantee

Once your deposit is received, your trip price is guaranteed. No additional fees will be levied beyond what is outlined in your booking confirmation, ensuring complete transparency. Any potential surcharges for optional add-ons will always be communicated and approved by you in advance.

Cancellation and Change Policies

We understand that plans can change. Our cancellation policy is designed to be fair while reflecting the commitment required for our unique expeditions.

  • More than 90 days prior to departure: Full refund minus 25% non-refundable deposit.
  • 60-90 days prior to departure: 50% refund of total trip cost.
  • 30-59 days prior to departure: 25% refund of total trip cost.
  • Less than 30 days prior to departure: No refund.

All cancellations must be submitted in writing via email to [email protected].

Permafrost Path operates in dynamic wilderness environments. While rare, adverse weather conditions may necessitate altering or cancelling an expedition for safety. In such cases, we will offer:

  • An alternative activity of similar value.
  • A credit for future travel with Permafrost Path.
  • A partial refund if no suitable alternative can be found.

Client safety is our paramount concern; guides hold ultimate discretion in weather-related decisions.

Changes to existing bookings are subject to availability and may incur an administrative fee of $50 CAD per change, plus any additional costs from suppliers. Changes requested within 60 days of departure are treated as cancellations and rebookings, subject to the cancellation policy above.

Adventure Travel Risk and Safety

Embarking on a Permafrost Path adventure means embracing the thrilling beauty of the Canadian Rockies. This also involves inherent risks typical of wilderness travel. Your safety is our highest priority, and we require all participants to acknowledge and adhere to our comprehensive safety protocols.

Assumption of Risk

By participating in any Permafrost Path expedition, you acknowledge and accept the inherent risks associated with adventure travel in remote wilderness environments. These include, but are not limited to, challenging terrain, unpredictable weather, wildlife encounters, and potential for personal injury or property damage. Thorough preparation and adherence to guide instructions significantly mitigate these risks.

Participant Responsibilities

It is your responsibility to accurately disclose any medical conditions or physical limitations prior to your trip. Participants must be in suitable physical condition for their chosen activity and comply with all safety instructions, equipment requirements, and directives from Permafrost Path guides. Non-compliance may result in removal from the tour without refund for your safety and that of the group.
